    Position Description: Property Assistant

     

     

     

    Housing for New Hope prevents and ends homelessness by providing access to housing, healthcare and integrated services in the Durham community. We currently have an opening for a Property Assistant within our Property Management Team.

     

    Position Summary: 

    The Property Assistant provides administrative support in order for the property team to carry out day-to-day management, maintenance, security and general administrative duties for agency-owned rental units and other agency-owned properties.

     

    Reports to:  Property Manager

     

    Responsibilities:

    • Support emergency coverage plans, enforce house rules and promptly resolve tenant or public complaints

    • Maintain full compliance with all legal and regulatory requirements at all times and correct any identified compliance problems immediately

    • Maintain PropertyBoss® database in real time and all other property records, reports and files daily

    • Work in collaboration with Tenant Services Advocate on lease renewals

    • Work in collaboration with Maintenance Technician to process work orders

    • Update personal job knowledge, skills and certifications by attending conferences, workshops, continuing education and personal development classes; read professional websites and publications; maintain professional relationships and personal networks

    • Provide excellent housing by stepping up when called on for special projects and requests; work in a professional, collegial and supportive manner with all agency staff members

    • Assist the Property Manager with day-to-day operations and tenant relations through the coordination of tenant requests and administration of maintenance services

    • Provide tenants and vendors with excellent customer service in all aspects of scheduling building maintenance, communicating building procedures and supplying general building information

    • Answer and route phone calls from tenants and vendors to the appropriate contact within the property team and/or dispatch personnel based on immediate needs

    • Handle tenant, vendor and prospective tenant walk-ins

    • Maintain a highly organized filing system for leases, tenant information, insurance certificates, vendors, buildings, drawings, contracts and purchase orders

    • Assist the Property Manager as needed with coordination of rent/lease collections, tenant and vendor related interface, tenant relations and special projects

    • Update and maintain current daily and emergency tenant contact lists and tenant information documents

    • Provide support to the Property Manager by producing, modifying and/or distributing various forms, spreadsheets, manuals, information packages and miscellaneous printed materials

    • Process correspondence to tenants, contractors and others for the property team.

    • Contribute toward overall office operational needs by helping to provide phone coverage and ordering supplies

    • Other duties as assigned.

    Qualifications:

    • High school diploma with five years of experience; associate degree preferred

    • Preferred experience with/working knowledge of:

      • rental property operations

      • marketing

      • leasing

      • day-to-day property management

      • customer service

      • maintenance procedures

      • records management

      • budget preparation

      • financial analysis.

     

    Compensation: 

    Commensurate with experience and abilities. Benefits package offered.
